Ivy Tech Community College: Advice from the Trenches When Seeking a Sourcing Solution

Ivy Tech Community College is America’s largest singly-accredited statewide community college system, serving nearly 160,000 students across 45 campus and site locations in Indiana. 

Since 2016, Ivy Tech has used Euna Procurement to manage their RFP and competitive bidding process on one online platform. Heather Vasquez, Assistant Director of IT Procurement at Ivy Tech, took the time to answer a few questions about how Euna Procurement helps the Ivy Tech team manage growing project volumes and engage stakeholders seamlessly. 

Challenge 

Before using Euna Procurement, Ivy Tech was using a manual process done via email. The duration of the RFPs was becoming an issue because of the growing number of RFP/Q requests that were coming in. This was leading to delays in purchasing and implementation. Sometimes because of the delay the requestor would lose funding due to a fiscal year change. 

Solution 

When asked what the “must-haves” were when choosing a software solution, Heather stated that, “we wanted something that would streamline the process and hold all of the information in one spot. Also, we wanted to be able to score proposals so we could make a more informed decision. Euna Procurement was presented, and we tried it to see if it could speed up the process.” 

Results 

“There’s a quicker turnaround time from the start to the end of a project. When you consider how it has freed up people’s time to do other things, there are cost-savings in terms of salary and how much time was wasted on the manual way. The time-savings have been great, because now I can process two to three RFPs per month instead of one. It really has sped up the process.” 

Ivy Tech has also seen benefits for their evaluators since implementing Euna Procurement: 

“We have heard how easy it was and how they enjoyed the Questionnaire set-up, because they could see all supplier responses on the same page.” 

A Project Where Euna Procurement Has Made an Impact 

“We ran an RFP to replace our online platform, which was a big undertaking. By using Euna Procurement, we were able to run a smoother RFP because the number of reviewers and supplier participation would have been overwhelming if we were still doing it the manual way. Also, we could run a scoring summary which made the supplier elimination easier.” 

Euna Procurement has helped Ivy Tech Community College make a more informed decision because now all of the information is in one spot and can now be reviewed on a more wide-scale basis than just locally. 

“I would advise [other leaders] to give the tool a try, and they will see how easy it is to implement and to use.”
